Everything you need to know about your passenger van rental from Greenvans

Rental Requirements

Anyone who plans to drive one of our vans must have their own personal auto insurance with primary liability coverage and collision coverage. Each driver must submit their proof of insurance online in advance and be added to the rental agreement before they are eligible to drive one of our vans. 

If you or one of your drivers do not have personal auto insurance, you may purchase the appropriate coverage through Greenvans. Each driver will still need to submit their driver’s license online in advance. (RLP, SLI, PEI/PAI are not available in Rhode Island).

Renter’s Liability Protection (RLP)

What is Liability?

Liability occurs when you (the renter or driver) are at fault in an accident and cause damage, either property or bodily injury, to a third party. 

Greenvans requires ALL drivers to have primary liability coverage for state minimums. 

If you don’t have your own primary liability policy, you can buy our coverage option called Renter’s Liability Protection (RLP).

Renter’s Liability Protection (RLP) affords the renter primary liability coverage up to the minimum financial responsibility limits of the State. This insurance will help protect you should you injure another person in an accident or damage the property of another while operating your rental van, up to the policy limits.

Cost: You can purchase our RLP for $19.99 per day with your van rental. Deductible: $500

 

Renter’s Collision Protection (RCP)

What is collision damage?

Collision damage is any damage done to our van during the course of your rental. 

Renter’s Collision Protection (RCP) covers any physical damage to our van up to $20,000 with a $250 deductible. 

If you have purchased RCP for your van rental and are involved in an accident that results in damage to our passenger van, you would only be responsible for a $250 deductible and would not have to submit a separate claim to your insurance company.

You are not required to purchase RCP – If you are involved in an accident during your rental that results in damage to our vehicle, you must either immediately reimburse Greenvans for the cost of the damage or submit a loss claim to your insurance company and they will pay us on your behalf. You would be responsible for whatever deductible that your insurance company charges (this varies greatly – depending on your policy), and any additional points/surcharges added to your insurance premium as a result of the loss.

If you do not have full coverage insurance (meaning liability but no collision), purchasing RCP from Greenvans will satisfy our minimum collision protection requirements.

Cost: You can purchase our RCP for $29.99 per day with your van rental. $250 Deductible

 

Supplemental Liability Insurance (SLI)

Supplemental Liability Insurance (SLI) is an optional coverage that protects you against third-party liability claims for bodily injury or property damage as a result of an accident during your rental period.

SLI provides additional liability coverage beyond the limits of your primary liability policy (or our Renter’s Liability Protection (RLP) if purchased) up to $300,000. SLI DOES NOT PROVIDE PRIMARY LIABILITY COVERAGE. If you purchase SLI from Greenvans, each of your drivers must still carry his or her own primary liability coverage, or you must purchase RLP from Greenvans. 

SLI does NOT PROVIDE PRIMARY LIABILITY COVERAGE. 

Cost: You can purchase SLI for $14.99 per day with your van rental. 

 

Personal Effects & Personal Accident Insurance (PEI/PAI)

Personal Effects (PEI) and Personal Accident Insurance (PAI) are offered as a bundled package. 

PEI is an optional coverage that provides you with limited coverage from loss or damage to your personal belongings caused by theft, damage or an accident to the van. 

Personal Accident Insurance (PAI) provides you with accidental death coverage, accidental medical expense coverage, and travel assistance while you are in one of our vehicles during the rental period. 

Cost: You can purchase PEI/PAI for $4.99 per day with your van rental. 

 

FULL INSURANCE COVERAGE

If you would like to purchase all of our insurance as a bundled package, we offer RLP, RCP, SLI and PEI/PAI as a package for a discounted rate of $55 per day with your van rental.

You must be 25 years or older with a valid US driver’s license to rent and drive one of our 15 passenger vans. We do allow drivers age 21-24 for an additional underage driver fee. Nobody under 21 years old is allowed to drive our vans. Underage drivers must be approved by Greenvans in advance.

We require 30% of the total rental fee in advance to secure your reservation. The remaining balance is due when you pick your van up on the first day of your rental.

We will also place a $500 security hold on your card at the time of pickup. This hold will be released back to your card when you return the van, minus any additional charges for fuel, smoking fee, cleaning fee, mileage charges, parking or speeding tickets.

Rentals longer than 30 days have the option to opt into weekly payments – we will bill your card for a predetermined amount on the same day each week, plus an additional financing fee. Weekly payment arrangements must be made in advance and require approval. Please contact us for more information. 

If your balance is not paid in full by the end of the rental period, a late fee of 10% of the open balance will accrue every seven days past due. 

Payments may be made by credit card, debit card, check or wire transfer, however, if you pay by check or wire we must have a major credit card on file at the start of the rental for incidentals. 

You may use a debit card to pay your balance at the start of the rental, but we’ll place an additional $500 security hold on your card for the duration of your rental period. This security hold will be applied on the first day of your rental when you pick up your van.  

The 30% reservation fee is required to reserve and is refundable up to 3 days before the start of your rental. If you cancel within this 3-day window, your deposit is held as a credit for a future rental. 

We don’t charge for additional drivers. You can add as many drivers to your reservation as long as they all meet our insurance and age requirements. 

All drivers DO NOT need to be present at the time of pickup as long as they have submitted their license and insurance information in advance. Once you make a reservation with us, you’ll receive a confirmation email with a link to upload the license and insurance info for each of your drivers. 

FAQs

Our main offices are in Philadelphia, PA, Providence, RI and Richmond, VA. We service the greater New England area from our Providence office and the New York, New Jersey, and Delaware area from our Philadelphia office. If you’re looking for a van rental out of a different city, please contact us directly for custom delivery options.

You can reserve your van through our online reservation system here, or you can call us at (833)-640-8267 and we’ll set up a reservation with you over the phone. 

Once you select your dates, locations, and times, you’ll be asked to pay a 30% reservation deposit to lock in your van rental. Once you make your deposit payment, your van is reserved with us and your reservation is guaranteed. After you reserve, you’ll receive a confirmation email and a text message with your reservation details.

We rent one model 15 passenger van: The 15-Passenger Ford Medium Roof Transit 350 XLT. We can remove seats for you to make room for more luggage, cargo and gear. 

This one-size van is configured as a 15-passenger van if we leave all 4 rows of seats in, an 11-passenger van if we remove one row of seats, or an 8-passenger van if we remove two rows of seats. Please see our vans page for more information about each configuration.

With all rows of seats left in the van, our vans have seatbelts for 15-passengers including the driver. If we remove one row of seats for extra cargo space, you’ll have seatbelts for 11-passengers. If we remove two rows of seats, you’ll have seatbelts for 8-passengers.

Yes we can! With all 4 rows of seats in the van there is limited cargo space behind the last row. We can remove the back row which leaves seats for 11 passengers and extra room for cargo, or we can remove two rows to leave seats for 8 passengers and plenty of cargo space for gear, merch and luggage. 

A 15-passenger medium roof transit with the back two rows removed is a standard seat setup for most touring bands.

With all four rows of seats left in the van, there is very limited space behind the last row of seats for luggage and bags. Small soft bags and backpacks can fit under the seats, and small soft bags can fit behind the last row of seats. If you’re traveling with fewer than 15 people, we recommend having us remove the last row of seats to make room for luggage. See our vans page here for photos of this setup for reference.

The sooner, the better! We recommend making a van rental reservation AT LEAST 30 days in advance. 60 Days in advance for peak summer travel and touring season is even better in order to guarantee we’ll have a van open for you. We always do our best to accommodate last-minute rentals if our availability allows. We require at least 48 hours notice in advance to make a reservation online. 

We have a 3-day minimum for all rentals booked in advance. All rentals with delivery have a 5-day minimum. There is no maximum rental limit. 

Nope! We deal with many international rental customers. However, all drivers do need to carry their own personal auto insurance policy with primary liability and collision coverage. If you are not a U.S. Citizen, your auto insurance will not provide coverage for a rental vehicle in the U.S. so you’ll need to purchase auto coverage from Greenvans. We recommend using your own primary liability and collision insurance to cover you during your rental, but if you’re coming from outside the U.S. or if you don’t have your own personal auto policy, you can buy the required coverage directly from us. Nope! You don’t need a special license to rent and drive a 15-passenger van. You DO need to have a personal auto insurance policy with primary liability and collision coverage. If you do not have full insurance coverage you may purchase our insurance if you’re renting a passenger van from our Philadelphia office.

Yes, you can take our vans into Canada but not Mexico.

We require 30% of the total rental fee upfront to reserve the van. This reservation deposit is refundable if you cancel anytime up to 3 days before the start date of the rental. If you cancel within 3 days of the start date of your rental, your deposit is non-refundable but will be held as a credit for any future rental. You are responsible for the full rental fee after your start date. 

Yes! All of our vans come with factory class 4 hitch receivers with 7-pin and flat-4 wiring connections. Towing capacity for the medium roof transit passenger vans is 4500 lbs. We charge a $12 per day towing fee to cover the additional wear and tear on the van while. We do not rent trailers and we do not provide drawbars and ball mounts.

Yes. We allow 300 free miles per day over the course of your rental. We charge $0.39 per mile over that limit. For example, with a 10-day rental you’ll have 3000 free miles total. If you travel 3500 miles in that time, your mileage charge will be $195 (500 x $0.39).

All of our vans come with an EZ Pass transponder. We’ll bill you for the cost of your tolls once your rental is complete. Please keep in mind that because of differences in processing time in each state, some toll charges may take a few days to a week to hit our account after your van has been returned. It’s not unusual for you to see toll charges on your credit card statement days or weeks after you have returned your van because of slow processing times in each state.

Our vans require oil changes every 10,000 miles. We’re very proactive when it comes to preventive maintenance, but if you’re on a longer rental, you may need to take your van in for an oil change, tire rotation, or general service. We reimburse for all regular service and mechanical repairs. If you’re coming up on an oil change interval, the van will indicate that you need to schedule an oil change soon. We recommend any Ford Quicklane, but any nationwide service chains like Valvoline, Pep Boys.

Breakdowns and mechanical issues are rare, but they do happen. First and foremost, we take excellent care of our vehicles. All of our vans are dealer serviced before and after every rental and all of our vans are either the current model year or one model year old.
We don’t cut corners when it comes to preventive maintenance and safety.

For minor issues like a flat tire, dead battery or lockout, you’ll find our roadside assistance number in your van’s glove compartment. This service is available 24/7 for your convenience.

If you experience any other major issue, get yourself to a safe place and call our emergency line as soon as possible to let us know.

We’ll assess the severity of your situation and make a plan. If necessary, we’ll make arrangements for a tow company to bring your van to the nearest Ford dealer or nearby service department for repairs. Depending on the issue and where you are in the country, the timeline for repairs varies greatly. Some issues can be resolved the same day, but some will need more time. If circumstances force your van to require more than two days worth of repairs, we’ll make arrangements to either send a new van of ours to you as quickly as possible or find you a replacement vehicle from another company (either temporarily or for the remainder of your rental).  We cover all expenses associated with a van breakdown including any towing charges, repair costs and if the breakdown requires you to stay overnight, we’ll cover up to two hotel rooms.

Please keep in mind that we treat issues with our vans very seriously and we’re working with you to make sure you’re able to keep your schedule. Our team is very good at crisis management in these situations, but sometimes there are circumstances beyond our control. We are not liable for any lost revenue or downtime due to mechanical issues.

We do! You can make a reservation for pick-up and return between our locations here. Additional one-way fees may apply between certain locations.

Each of our locations has different open hours. Check our location page here for available pick-up times at the location you’re looking for. Please note that all pick-ups are by appointment only. We schedule your van pickup time with you in advance to make sure you don’t have to wait around at the time of pickup.

There is no smoking allowed in our vans. You will be charged a mandatory $500 cleaning fee if there’s evidence of smoking in our van during your rental.

If you have to transport your dog or cat, we understand! Pets are allowed, we just charge an additional $200 cleaning fee.

Nope! Our vans do not come with TVs or any other aftermarket entertainment systems. Sorry! The vans do have Apple Carplay and Android Auto as well as Sirius XM radio and USB ports in every row to charge devices.

Yes! All of our vans come standard with Apple Carplay and Android Auto. When you connect your phone, you’ll see your maps displayed on the main screen as well as access to all of your music, Siri and your phone.

We accept all major credit cards, debit cards, wire transfers, business checks, or Paypal. If you pay by check, wire or PayPal, we will still need a credit or debit card on file at the time of the rental for incidentals. If you pay with a debit card at the time of pickup we will place an additional $500 security authorization on your card in addition to the remaining balance due on the rental. This hold will be released when you return the van. We do not accept personal checks.

Our goal is to complete every part of the rental process with you online in advance of the rental. 

When you come to our office to pick up your van (or when we deliver the van to you), 99% of the rental process has already been completed. 

Once you make your reservation, you’ll receive a confirmation email with a link to submit all of our required information for all of your drivers. As long as all of your information is submitted correctly in advance, you do not need to bring anything with you.

If your band or company has a commercial insurance policy that provides liability and collision coverage, you are able to use that coverage in place of each individual driver’s personal auto policy. 

In order to use your commercial coverage, you’ll need to provide us with a Certificate of Insurance (COI) prior to the start of your rental that fulfills our requirements and names Greenvans, LLC as the loss payee. Yes! If you have state sales tax exemption in either Philadelphia or Rhode Island, we are able to remove the state sales tax as long as you provide us with proper documentation for the state sales tax exemption status. These are the only two states we can provide a sales tax exemption.
