Rental Requirements
All Greenvans rentals require Liability and Collision protection. You can meet this requirement in one of four ways:
- Purchase coverage through Greenvans
- Use your personal auto insurance
- Use personal Liability insurance with Greenvans Collision Damage Waiver (CDW)
- Provide a Certificate of Insurance (COI) from your business or organization
If you use personal auto insurance, each driver must have coverage that includes Liability and Collision protection and applies to the van you’re renting. We recommend contacting your insurance provider before your trip to confirm that your policy covers a 15-passenger rental van.
What documents do drivers need to provide?
Before your rental begins, each driver must submit:
- A valid driver’s license
- Proof of personal auto insurance, if using personal coverage
Each driver must also be listed on the Rental Agreement before operating the van.
If you’re using commercial coverage, your business or organization must provide a Certificate of Insurance (COI) that meets our requirements.
What coverage does Greenvans offer?
You can purchase a coverage package or select individual protection options during booking.

You must be at least 21 years old and have a valid driver’s license to rent or drive a Greenvans vehicle.
If your driver’s license was issued outside the United States, you may rent and drive as long as you either:
- Purchase coverage through Greenvans
- Provide a Certificate of Insurance (COI) that meets our requirements
You’ll pay 30% of the total rental fee as a reservation deposit to secure your van. Your remaining rental balance is due when you pick it up.
Your deposit is refundable if you cancel at least 3 days before your rental begins. If you cancel within 3 days of your rental, we’ll keep the amount as a credit that you can apply toward a future rental.
Is there a security deposit?
Yes. When you pick up your van, we’ll charge a $500 security deposit on your card.
After you return the van, we’ll deduct any applicable additional charges from the deposit. These may include:
- Missing fuel
- Excess mileage
- Additional cleaning
- Smoking fees
- Parking or traffic violations
- Other charges incurred during your rental
We’ll release the remaining amount back to your card after the vehicle is checked in. Depending on your bank, it may take 3 to 5 business days for the funds to become available. If you do not see the refund after that time, we recommend contacting your bank directly, as processing times can vary by financial institution.
What payment methods can I use?
You can pay by credit card, debit card, wire transfer, or business check. We do not accept personal checks.
If you pay by wire transfer or business check, you’ll still need to provide a credit or debit card to keep on file for incidental charges.
Can I make weekly payments for a long-term rental?
If your rental is longer than 30 days, you may qualify for weekly payments. If approved, we’ll charge a predetermined amount to your card on the same day each week, along with an additional financing fee.
Weekly payment arrangements must be approved and set up in advance. Please contact our team for more information.
What happens if I have an unpaid balance?
If you have an unpaid balance at the end of your rental, we’ll add a late fee equal to 10% of the outstanding balance for every seven days it remains past due.
Yes. You can add as many drivers as you need at no additional charge. Each driver must be at least 21 years old and meet the applicable insurance requirements.
If you purchase coverage through Greenvans, the required information for every driver must be submitted before pickup. Additional drivers do not need to be present when you pick up the van.
After you reserve your van, you’ll receive a confirmation email with a link to submit each driver’s information.
Planning Your Rental
You can reserve your van online or call us at (833) 640-8267 to make a reservation over the phone.
If you request a quote, the quoted rate is valid for 48 hours, provided a van is still available. Receiving a quote does not place a van on hold.
After you select your pickup and return dates, locations, and times, you’ll pay a 30% reservation deposit to secure your van. Once we receive your deposit, your reservation is confirmed and guaranteed.
We’ll then send you a confirmation email and text message with your reservation details.
The earlier you reserve, the better. We recommend booking at least 30 days in advance, or 60 days in advance during peak summer travel and touring season, to give you the best availability.
Online reservations require at least 48 hours’ notice. If you need a van sooner, contact us. We’ll do our best to accommodate your rental if a van is available.
Our passenger van rentals typically have a 3-day minimum. Depending on the season and availability, we may be able to accommodate a rental of 1 or 2 days.
Rentals that include delivery have a 5-day minimum. There is no maximum rental length.
If you need a van for fewer than 3 days, contact us and we’ll see what we can arrange.
Yes. You can pick up your van at one Greenvans location and return it to another. Additional one-way fees may apply depending on the locations you choose.
You can reserve a one-way van rental online. If you need pickup or return at a custom location, contact us for availability and pricing.
Your 30% reservation deposit is refundable if you cancel at least 3 days before your rental begins.
If you cancel within 3 days of your rental start date, we’ll keep the amount as a credit that you can apply toward a future rental.
Our main offices are in Philadelphia, PA; Providence, RI; Richmond, VA; and Nashville, TN.
From Providence, we serve Boston and the greater New England area. From Philadelphia, we serve New York, New Jersey, Baltimore, and Delaware. From Richmond, we serve the Washington, D.C. area.

Our offices are open Monday through Friday from 9 a.m. to 6 p.m. and Saturday from 9 a.m. to noon. Our offices are closed on Sundays.
All pickups are by appointment. We’ll schedule your pickup time in advance so your van is ready when you arrive. Deliveries must also be arranged ahead of time.
If your travel schedule falls outside our regular hours, we may be able to arrange a remote after-hours pickup or return. Contact us to discuss your options.
We complete most of the rental process online before your pickup or delivery. After you reserve your van, you’ll receive a confirmation email with a link to submit the required driver and insurance information.
If you’re using personal insurance, please bring your driver’s license and insurance documentation so we can verify them against the information on file.
You’ll also need a credit or debit card for any remaining rental balance and the $500 security deposit. If you already have a card on file, we can use that instead.
The person picking up the van does not need to be the person who made the reservation, but all required driver information must be submitted before pickup.

No. You do not need a commercial driver’s license or any other special license to drive one of our 15-passenger vans. You must be at least 21 years old and have a valid driver’s license.
Your rental must also have approved Liability and Collision protection through personal insurance, coverage purchased through Greenvans, or an approved Certificate of Insurance (COI).

No. You do not need to be a U.S. citizen to rent or drive one of our vans. We regularly work with international renters and drivers.
If you have an international driver’s license, you’ll need to either purchase coverage through Greenvans or provide a Certificate of Insurance (COI) that meets our requirements.

Yes. If your business or organization has a commercial auto insurance policy that meets our Liability and Collision coverage requirements, you can use it instead of providing a personal auto policy for each driver.
Before your rental begins, you’ll need to provide a Certificate of Insurance (COI) that meets our requirements and lists Greenvans, LLC as Loss Payee and Additional Insured.

We accept all major credit cards, debit cards, wire transfers, and business checks. We do not accept personal checks.
If you pay by wire transfer or business check, you’ll still need to provide a credit or debit card to keep on file for the security deposit and any incidental charges.
Yes. We charge a $500 security deposit at the beginning of every rental. This is separate from your rental fee and may be used to cover additional charges such as missing fuel, excess mileage, cleaning, or smoking fees.
After your van is checked in, we’ll deduct any applicable charges and refund the remaining amount to your card. Depending on your bank, it may take 3 to 5 business days for the funds to become available. If you do not see the refund after that time, we recommend contacting your bank directly, as processing times can vary by financial institution.
If your organization has a valid sales tax exemption in Pennsylvania, Rhode Island, Virginia, or Tennessee, we can remove the applicable state sales tax from your rental once you provide the required documentation.
We cannot apply sales tax exemptions issued by other states. Tax-exempt status does not waive other rental fees.
Van Features and Policies
We rent two models of 15-passenger vans.
- Ford Transit 350 XLT Medium Roof
A gas-powered van with a 9-foot clearance. Depending on your passenger and cargo needs, you can choose from several seating configurations. - Mercedes-Benz Sprinter 2500 High Roof
A diesel-powered van with an 11-foot clearance and built-in cargo space behind the last row. The Sprinter remains in its 15-passenger seating configuration.
Both models seat up to 15 people, including the driver. Visit each van’s page to compare features, seating, and cargo space. Model availability varies by location.

Both our Ford Transit and Mercedes-Benz Sprinter vans seat up to 15 people, including the driver.
If you choose a Ford Transit, we can remove one row to provide seating for 11 people or two rows to provide seating for 8 people, giving you more room for cargo. Other custom seating configurations may also be available depending on your needs.
Our Sprinter vans remain in the 15-passenger configuration and include built-in cargo space behind the last row.

Our Ford Transit has limited space behind the last row when all 15 seats are in place. Small, soft-sided bags and backpacks may fit behind the last row or under the seats. If you’re traveling with fewer people, we can remove one or two rows to create additional cargo space. Other custom configurations may also be available.
Our Mercedes-Benz Sprinter seats 15 people and has built-in cargo space behind the last row, giving you room for luggage without changing the seating configuration.

We can remove rows from our Ford Transit vans to create more cargo space. Removing the back row leaves seating for 11 people, while removing two rows leaves seating for 8 people with more room for gear, merch, or luggage. Other custom seating configurations may also be available.
The 8-passenger setup is especially popular with touring bands and groups carrying a lot of equipment.
Rows cannot be removed from our Mercedes-Benz Sprinter vans, but the vans include built-in cargo space behind the last row while still seating 15 people.

Towing a cargo trailer is permitted with our Ford Transit vans only. Towing is not permitted with our Mercedes-Benz Sprinter vans.
Our Ford Transits have factory Class IV hitch receivers with 7-pin and flat-4 wiring connections and a towing capacity of up to 4,500 pounds. A $15 daily towing fee applies.
We do not rent trailers or provide drawbars, ball mounts, or other trailer equipment.
Yes. All our vans come with Apple CarPlay and Android Auto. Once you connect your phone, you can use the van’s display to access maps, music, calls, and other supported apps.

No. Our vans do not have TVs or other built-in entertainment systems. They do include Apple CarPlay, Android Auto, and charging ports throughout the van, so you can connect and charge your own devices while traveling.
During Your Rental
Your rental includes 250 miles per day, calculated across your entire rental period. Any mileage beyond the included amount is charged at $0.39 per mile.
For example, a 10-day rental includes 2,500 miles. If you drive 3,000 miles, you’ll be charged $195 for the additional 500 miles.
Unlimited mileage packages are also available for an additional fee on rentals of fewer than 10 days.
You have two options for paying tolls during your rental:
Option 1: Use Your Own E-ZPass
Using your own E-ZPass or compatible transponder is usually the simplest and least expensive option because transponder rates are often lower than pay-by-plate rates. You can bring your transponder with you and do not need to add the rental van to your E-ZPass account.
Option 2: Use Our Pay-by-Plate Service
Global Tolling Services (GTS) will charge the card on file for your tolls, plus a $6.95 service fee for each day you incur a toll. You will not pay the service fee on days when you do not incur a toll. The fee is capped at 10 days per rental.
Your toll charges will be processed separately after your rental ends. Toll authorities release charges on their own timelines, so charges may appear days or even months later. We understand that the delay can be frustrating, but the timing is determined by the tolling agency, not Greenvans.
We stay on top of preventive maintenance, but a van on a longer rental may need an oil change, tire rotation, or other routine service.
If the van displays a service reminder or you notice a mechanical issue, contact the Greenvans location handling your rental before taking the van to a service center. You can find each location’s direct phone number on our Contact page.
We’ll help you find an appropriate service provider for your Ford Transit or Mercedes-Benz Sprinter, confirm what service is needed, and coordinate reimbursement for required maintenance or mechanical repairs.
Breakdowns are rare, but mechanical issues can still happen. If your van breaks down, move to a safe location if you can.
For minor issues
For a flat tire, dead battery, lockout, or another minor roadside issue, call the appropriate 24/7 roadside assistance number for your van. You can also find this number on the key fob or below.

For major mechanical issues
For a major mechanical issue, call the Greenvans Emergency Line at (833) 456-5700. We’ll assess the situation and help arrange towing or service at the nearest appropriate repair facility.
Repair times will depend on the issue, your location, and local parts and service availability. If repairs are expected to take more than 2 days, we’ll work to send you another Greenvans vehicle or arrange a replacement from another rental company as quickly as possible.
For a mechanical breakdown, Greenvans covers the related towing and repair costs. If the breakdown requires an overnight stay, we’ll also cover up to 2 hotel rooms.
We understand how disruptive a breakdown can be and will do everything we reasonably can to help you stay on schedule. However, some circumstances are outside our control, and Greenvans is not responsible for lost revenue or downtime caused by mechanical issues.
You may drive our vans into Canada, but you may not take them into Mexico.
Smoking is not allowed in any Greenvans vehicle. If the van is returned with evidence of smoking, including cigarette butts, ash, or a lingering smoke odor, you’ll be charged a $500 cleaning fee.
Yes, you’re welcome to bring your pet. Before returning the van, please vacuum and remove any pet hair or dander. If the van requires additional cleaning because of pet hair or dander, you’ll be charged a $200 cleaning fee.
