Rental Requirements
-All drivers must be 21 years of age with a valid US or international drivers license. We can add drivers 18 or older to the rental contact, however additional insurance fees will apply. Please contact us for more information regarding underage drivers.
-Each driver’s information must be added to the rental contract in order to drive the vehicle, so please make sure each driver brings his/her drivers license to the pickup location.
Pickup and Drop-off
-Van pickups and drop-offs are organized by appointment only. We do not accept walk in reservations.
-Once you have received a quote and confirmed your reservation, you can schedule a pickup time with Greenvans. Please contact Andy@rentgreenvans.com to make a reservation and schedule your pickup.
-Drop-offs must be scheduled in advance with Andy as well. Generally, we can take a van back all hours of the night as long as advance notice is given.
-Please return the van as clean as you received it. We know that your band-mates are complete slobs, but please help us keep our vans presentable for our other customers. Most of the time a van goes out with the next band within a day or two of its return so we don’t have much time for detailing. Customers returning vans that are excessively dirty will be charged a $50 cleaning fee.
-Please return the van with a full tank of diesel fuel.
Delivery/Pickup
-Though we are based in Boston, Ma, we deliver and pickup vans all over the country. We make it easy for you to rent from us. In fact, we deliver and pickup more vans off location than anything else. Our delivery and pickup rates are EXTREMELY reasonable, so please contact us for more info.
Insurance
-Drivers should have their own auto insurance policy. Our commercial insurance policy covers up to $1,000,000 per accident, including bodily injury and property damage. If the total amount of the injuries and property damage exceeds our coverage limits, the driver is responsible for the excess amount. The driver’s personal auto insurance policy will cover the excess amount, but an uninsured driver will be personally responsible. Please call us if you have specific questions.
-The driver is responsible for a $500 deductible for all vehicle damage claims if the driver is deemed to be at fault in any accident resulting in an insurance claim.
-We do not sell Commercial Damage Waivers, Supplemental Liability Insurance, or insurance that covers the contents of the trailer.
Payment Policy
-A 30% non-refundable deposit is required upfront to secure your reservation. Tours of two weeks or more require weekly deposits with the final balance due at the end of the rental period. Weekly deposits can be made via Paypal, Credit Card, Check, or direct cash deposits into our customer account.
Cancellation Policy
-Tours cancelled after the first reserved day will be charged the entire balance of the rental.
Maintenance:
-We take EXCELLENT care of our vans and trailers to insure a problem free experience for all of our customers. Please help us take care of our vehicles so that we may continue to keep our prices low and provide a reliable service to other touring bands.
-Oil changes: You are required to change the oil in our vans every 5,000 miles. If you travel more than 500 miles past the oil change interval you will be charged $0.20/mile for the overage. Please remember that these are DIESEL VEHICLES and require a specific oil type: OIL WEIGHT REQUIREMENT: 15w-40. We encourage you to use Shell Rotella-T if available. We have had good experiences with most major chain service departments. Jiffy-Lube and Walmart are usually reliable choices.
-Other regular service: You will be informed at the time of pickup of any additional maintenance items (fluid changes, filter changes, tire rotation, etc) that will be required during your rental period.
-We pay for ALL MAINTENACE required on our vehicles during the course of your rental. Please save your receipts and you will be reimbursed at the end of the rental period. Keep in mind that oil changes on our vehicles will cost you about $80-$100.
Van Breakdown/Repair Policy
-We are very proactive in ensuring that in the rare event of a breakdown, our vehicles are repaired in a timely, professional manner and you are back on the road as quickly as possible.
If you experience a mechanical problem or breakdown, you MUST CONTACT US IMMEDIATELY. We will assist you in finding a shop, towing the vehicle if necessary, and paying for the repair. You will be provided with our office contact info, personal cell phones, girlfriend’s cell phones, grandmother’s house numbers, etc…. so you can be in touch with us 24-hours a day. Nobody cares about our vans and your tour schedule more than us, so we are always available to help with ANY problems, big or small. We will do our best to get you back on the road with as little downtime as possible. We know how important it is to make it to EVERY show.
-If a repair requires you to stay overnight, we will pay for up to two hotel rooms for your band and crew while repairs are completed.
-If the repair cannot be completed within 48 hours, we will provide an alternative form of transportation. We will either deliver a vehicle to you (depending on availability) or rent you an equivalent vehicle from another company. Keep in mind that there are very few van rental agencies that will allow you to tow a trailer. If we are unable to provide you with a replacement Greenvans vehicle, you may not be able to continue your tour with a trailer. If you absolutely require a trailer, the best option may be to wait out the repairs.
-Greenvans is not responsible for any lost revenue or downtime due to mechanical issues.
Tow Service:
We provide a free 24-hour tow service to all of our customers. You won’t be able to tow a van with a trailer, so you’ll need to lock the trailer and leave it somewhere safe until repairs can be made.
Bio-Fuel Fill-ups
-One of the most frequently asked questions is “where do we fill-up with veggie oil?” Based on your tour routing, we coordinate your veggie oil fill-up stops with our network of fuel suppliers around the country. Once your final routing is submitted to Greenvans, we will give you with a list of the fill-up locations most convenient to your routing. The sources will be notified in advance, and you will get addresses and contact information.
-You will start your tour with 100-150 gallons of veggie oil in the reserve fuel tank. This is enough to take you about 2000 miles before refueling is necessary. We coordinate fuel stops based on this range, your routing, and available sources. We try our best to ensure that you will be able to refuel before you run out of veggie-oil, but sometimes tour schedules and odd routings make this difficult. We will do our very best to minimize your time on diesel fuel.
-The price of veggie oil fuel depends on the current price of diesel fuel at the pump and the area of the country you are in. Generally, veggie oil is $1.00/gallon less than the price of diesel at the pump.
Drive Green
-You can save a substantial amount of money over the course of your tour if you drive smart. At 60mph, our vans will get about 18 miles per gallon while towing. If you decide to drive 75mph, you’ll be getting more like 14mpg. A little bit of patience can go a long way if you’re on a tight budget, so please drive slowly and carefully!
